EC Cleaners Network · Certificates & cleaning reports
Need kitchen extract cleaning with a TR19 report, or help with a missing or incomplete certificate?
Tell us the postcode, what has been requested and any deadline. You can start without technical records. EC coordinates the enquiry; the independent specialist confirms the work and the documents it will provide.
For restaurants, hotels, care homes, schools and other UK commercial kitchens.
Ask about a certificate, report or cleaning requirement
Use the enquiry form to give the site postcode, a short description and any preferred date or deadline. You do not need documents to make an initial enquiry. Call if you would rather talk it through.
Search and Submit Ltd uses your details to respond and coordinate the enquiry, including sharing relevant information with appropriate independent specialists. Read our Privacy Policy. Please omit unrelated personal or sensitive information.
What should a TR19 cleaning certificate and report include?
A certificate is a summary of the contractor’s documented work. Read it with the post-clean verification report, including system identification, the work completed and any limitations. It should not conceal an inaccessible or uncleaned section.
For a practical document checklist, see what a post-clean verification report should contain on our sister site, Kitchen Extraction Evidence.
- The site, cleaning date, contractor and system covered.
- Before-and-after photographs and relevant verification results.
- A record of the cleaned route, access limitations and outstanding actions.
- The recommended next action or inspection/cleaning interval, with its basis.
Where a VHR-registered contractor notifies the work, establish which VHR notification is included and whether it records a full or partial clean. A contractor’s hygiene certificate and a VHR notification should not be assumed to be the same document.
See BESA’s kitchen extract cleaning guidance and its explanation of VHR notifications.
What affects the cost of cleaning and reporting?
Ask whether reporting and any applicable notification are included in the cleaning quotation or charged separately. System size, grease condition, access and working hours drive the work required. Compare kitchen extract cleaning costs and quote inclusions.
Provide the insurer’s or landlord’s original wording before booking. The originating insurer or professional decides whether the resulting work and evidence satisfy its requirements; EC cannot guarantee acceptance or validate insurance cover.

What if the certificate or report leaves questions unanswered?
Missing or unclear records
Ask the original contractor for the complete report and clarification of the system covered. Keep the certificate, photographs and correspondence together. Our report and evidence guidance helps you organise the questions for the specialist.
An incomplete clean
If an area was excluded, ask what prevented access and what needs to happen next. Discuss access and remedial work before booking another visit with the same restriction.
Before appointing a new contractor, check the proposed scope, credentials and reporting through our contractor assurance guide.
How do you keep reports organised across several sites?
Keep each certificate with the correct premises, system and cleaning date. Record any exclusions, the person arranging follow-up work and the next action for that site. A group summary should still let your team find the underlying contractor report.

TR19 certificates and reports: your questions answered
Who supplies the TR19 cleaning certificate and report?
The appointed cleaning specialist supplies the documents for the work it carries out. Agree the reporting package before booking. EC Cleaners Network coordinates enquiries; Search and Submit Ltd does not clean or certify systems.
Is a certificate the same as a post-clean verification report?
Read them together. The certificate records the completed work in summary; the supporting report explains the system covered, evidence and any limitations. Where a VHR notification applies, ask whether it records a full or partial clean.
What should I do if the report lists uncleaned ductwork?
Keep the affected section and the reason it was excluded on your action list. Ask the specialist what access or follow-up work is needed, who will arrange it and what evidence will be supplied after the return visit.
Can you help if I have lost a previous certificate?
Start by asking the contractor that carried out the work for a copy of the certificate and its supporting report. Give the premises address and approximate cleaning date. If the records cannot be found, tell us what you need and any deadline so an appropriate specialist can discuss the next step.
Can I enquire before I have a report or technical details?
Yes. Use the form on this page with your postcode, a brief description and any deadline. No documents are needed to start. For several premises, give the locations and briefly describe the help needed at each address.
