When you need help with a commercial kitchen extract system
Sometimes the requirement is straightforward: the extraction system is due for cleaning and you need an appropriate specialist contractor.
Other enquiries begin with something that needs resolving. You may have a TR19® report showing inaccessible ductwork, a fire-risk recommendation, an insurer or landlord asking for evidence, several quotations that appear to include different amounts of work, or uncertainty about what a previous attendance actually covered.
EC Cleaners Network helps organise the information you already have so that the requirement is clearer before an independent specialist contractor is appointed.
You can send an existing report, certificate, quotation, photographs, drawings or an adviser’s recommendation. You do not need to prepare a new technical specification before contacting us.
Why organisations contact us
The system is due for cleaning
You need to arrange the next visit and want the intended extraction-system scope to be clear before contractors assess and price the work.
A report has raised a problem
Previous documentation identifies grease accumulation, inaccessible ductwork, missing access or another action that still needs attention.
Someone has asked for evidence
An insurer, landlord, fire-risk adviser, facilities team or other professional has requested physical action or supporting documentation.
East Midlands properties can present very different extraction challenges
A restaurant in Leicester, university kitchen in Nottingham, hotel in Lincoln and food-production site in Northamptonshire can all require specialist extraction work while having very different systems and access arrangements.
City-centre & older property
Restaurants, pubs, hotels and converted buildings may contain long or concealed duct routes that are difficult to assess from the kitchen alone.
Education & healthcare estates
Universities, schools, hospitals and care environments can contain several kitchens and several separate extraction or ventilation systems.
Food production & industrial sites
Larger premises may introduce high-level access, controlled working areas, production schedules, permits and complex ventilation infrastructure.
What do you need help with?
Kitchen Extract Cleaning
For grease-contaminated commercial kitchen extraction systems where the intended physical scope, access requirements and completion evidence need to be clearly understood.
Existing Reports & Evidence
Already have a report, certificate, photographs or quotation but cannot clearly see what was completed, excluded or left outstanding?
Contractor Assurance
For organisations comparing contractor identity, relevant capability, quotation scope, access assumptions, insurance and proposed close-out evidence.
Inaccessible Ductwork
For extraction routes where part of the ductwork, riser, fan or discharge could not previously be reached.
General Ventilation
For requirements involving general supply, return or extract ventilation rather than grease-contaminated kitchen extraction.
Send Us the Requirement
Tell us where the property is, what has triggered action, the timescale and what information you already have.
A kitchen extract system is more than the canopy
The visible hood and filters are only the first part of many commercial kitchen extraction systems.
Grease-laden air can continue through the plenum, horizontal ductwork, vertical risers and concealed sections before reaching the extract fan and final discharge.
The contractor quotation should therefore make clear which parts of that route are actually included.
Canopy & plenum
The kitchen-facing section where grease-laden air is collected before entering the duct route.
Ductwork & risers
Horizontal, concealed and vertical sections carrying extract air through the property.
Fan & discharge
The downstream fan and final discharge should not be assumed to be included unless the contractor’s written scope says so.
What if part of the ductwork cannot be reached?
If a previous report identifies inaccessible ductwork, make that information visible before the next contractor is asked to quote.
Otherwise another attendance may simply reproduce exactly the same exclusion.
The practical next step may involve additional access panels, roof arrangements, high-level access, landlord permission or another form of enabling work before that section can be addressed.
Already have a report showing inaccessible ductwork?
Send it with the enquiry, together with any photographs or building information already available.
Kitchen extraction and general ventilation are different workstreams
Hotels, hospitals, universities, offices, food factories and other larger East Midlands properties may contain several different ventilation systems.
TR19® Grease concerns grease accumulation and associated fire-risk management within commercial kitchen extraction systems.
TR19® Air concerns internal cleanliness and hygiene management within general ventilation systems.
The two should not be bundled together as one vague “duct cleaning” requirement simply because both contain ductwork.
A cheaper quotation may simply include less work
Commercial kitchen extraction systems vary considerably, so compare the written scope before comparing the headline price.
One contractor may have priced the canopy and readily accessible ductwork. Another may have included a riser, fan, additional access, high-level equipment, restricted working hours or more detailed completion reporting.
What is included?
Canopy, plenum, ductwork, risers, fan and discharge should be identified where relevant.
How will it be reached?
Check assumptions around access panels, roof access, plant rooms, high-level work, permits and landlord-controlled areas.
What comes back afterwards?
Understand what photographs, reporting, relevant measurements, exclusions and outstanding actions will be recorded.
Already have a TR19 report?
Do not look only for the certificate. Read the report for what was actually completed and what remains unresolved.
Useful information can include photographs, deposit measurements where applicable, completed system sections, access limitations, exclusions and recommended further actions.
The key commercial question is whether the evidence lets you distinguish completed work from work that still needs another decision.
If the requirement came from fire safety, insurance or a landlord
Keep the original recommendation or written request and send it with the contractor enquiry.
A specific professional action should not be reduced to the generic instruction “get a TR19 certificate”.
The contractor needs to understand which system has been identified, what physical action is required and what evidence is expected afterwards.
TR19® Grease is a BESA industry specification rather than legislation in itself. Separate statutory fire-safety responsibilities apply to non-domestic premises.
Insurance and landlord requirements also vary, so the relevant policy, lease provision or written recommendation should be checked rather than assumed.
Who we can help across the East Midlands
After the work, you should be able to understand what actually happened
A useful completion record should identify the relevant property, kitchen and extraction system, explain what the contractor says was completed and make exclusions or outstanding issues clear.
The right system
Make sure photographs, measurements and other evidence can be connected to the relevant kitchen and extraction route.
The work completed
The returned documentation should make the contractor’s completed physical scope understandable.
Anything still outstanding
Inaccessible or incomplete sections should remain visible rather than disappearing once the contractor has left site.
Managing several East Midlands properties?
Restaurant groups, hotel operators, care providers, healthcare organisations, education estates, food businesses and facilities-management companies may need to coordinate several locations at once.
Consistency helps, but each property should still retain its own system, access and evidence information.
Keep each site identifiable
The property, kitchen, extraction system, contractor and returned evidence should remain separately identifiable.
Use consistent questions
Record the same basic information for each site: trigger, system, access, timescale, contractor scope and evidence required.
Keep exceptions visible
An inaccessible riser or incomplete system at one location should not disappear inside an estate-wide summary.

What happens when you contact EC?
- Tell us about the property.
Give us the East Midlands location and explain what has prompted the requirement. - Send what you already have.
Reports, certificates, quotations, photographs, drawings and professional recommendations can all be useful. - We help organise the requirement.
The aim is to make the commercial scope, known access issues and obvious unanswered questions easier to understand. - Potentially appropriate specialist capability can be considered.
Coverage depends on the actual work, location, access requirements and independent contractor availability. - The contractor assesses and quotes.
Technical assessment, method, safe working, price and physical delivery remain the contractor’s responsibility. - Keep the returned evidence.
Completed work, exclusions and anything still outstanding should remain understandable afterwards.
Our role
EC Cleaners Network helps organisations move from a requirement, report or unresolved issue towards a clearer commercial contractor brief and a more useful evidence trail.
We can organise customer-supplied information, make obvious scope and access questions easier to see, help compare commercial differences between quotations and support introductions to potentially appropriate independent specialists.
We do not inspect or clean the extraction system ourselves and we do not decide whether a system is technically compliant.
The appointed contractor or competent professional remains responsible for the technical work.
That includes assessment, quotation, safe working, access method, physical delivery, measurements, reporting, certification and professional conclusions within the scope for which they have been appointed.
East Midlands kitchen extract cleaning: common questions
Which East Midlands areas can I submit a requirement from?
Requirements can be submitted from across the East Midlands, including Nottingham, Leicester, Derby, Northampton, Lincoln, Loughborough, Mansfield, Chesterfield, Kettering, Corby, Wellingborough, Grantham, Newark, Worksop, Melton Mowbray, Boston, Skegness, Louth, Market Harborough, Hinckley and Oakham.
Do you have dedicated East Midlands location pages?
Yes. Existing EC location routes include Leicester, Northampton and Mansfield, together with wider Nottinghamshire, Derbyshire and Lincolnshire pages.
Can I send an existing TR19 report?
Yes. Existing reports, photographs, certificates, quotations and drawings can provide useful information about what was previously completed, what could not be reached and what may still need attention.
Does kitchen extract cleaning include the fan and ductwork?
It can, depending on the extraction system and the contractor’s agreed scope. The quotation should clearly identify which parts of the route are included, excluded or inaccessible.
What if some of the ductwork is inaccessible?
Keep the limitation visible. Additional access provision, enabling work, roof arrangements or further specialist assessment may be required before that part of the system can be addressed.
Is kitchen extract cleaning the same as ventilation cleaning?
No. TR19® Grease concerns grease-contaminated commercial kitchen extraction, while TR19® Air concerns cleanliness and hygiene management of general ventilation systems.
Is TR19® Grease a legal requirement?
TR19® Grease is a BESA industry specification rather than legislation in itself. Separate statutory fire-safety duties and other premises responsibilities may apply.
How much does commercial kitchen extract cleaning cost in the East Midlands?
Independent contractor pricing depends on factors such as system size and configuration, grease condition, fan position, access, high-level equipment, working hours and the reporting required. EC Cleaners Network does not set contractor prices.
Can I submit several East Midlands properties together?
Yes. Multi-site requirements can be submitted together while keeping each property’s extraction system, access position, contractor scope and completion evidence separately identifiable.
Does EC Cleaners Network carry out the cleaning?
No. EC Cleaners Network is operated by Search and Submit Ltd. Independent appointed contractors remain responsible for technical assessment, quotation, safe working, physical delivery, reporting and certification within their appointed scope.
