What to Do About Inaccessible Kitchen Extract Ductwork
If part of the extract system cannot be reached, the next job is to solve the access problem—not simply book the same clean again.
Kitchen-extract ductwork often disappears above ceilings, through risers, into roof voids or across areas controlled by landlords or other occupiers. When a contractor reports that part of the system is inaccessible, the estates team needs to identify the exact obstruction and decide what kind of remedial action is required before the next cleaning visit.

A system can be clean where it was reached and still contain unknown areas.
The visible canopy is only one part of a kitchen-extraction system. Grease-laden air may travel through horizontal ductwork, vertical risers, changes of direction, fire-rated enclosures, roof spaces and fan sections before reaching the final discharge.
If technicians cannot gain suitable internal access to those sections, they may be unable to inspect, test or clean them properly. The report should therefore make the limitation visible, and the client should avoid treating the attendance as evidence that the inaccessible section has been addressed.
“Inaccessible” can describe several completely different problems.
There are not enough suitable access panels
The ductwork may be enclosed or continuous over long distances without openings that allow technicians to reach internal surfaces. In this case, the next action may involve competent assessment and installation of additional access panels at appropriate locations.
The panel exists but cannot be reached safely
An access door may sit above fixed equipment, a ceiling, a staircase, a production line or another obstruction. The issue may therefore be safe physical access rather than absence of a duct panel.
The fan or riser is in someone else’s area
Landlord-controlled roofs, neighbouring demises, shopping-centre risers and shared plant areas can prevent attendance even where the system itself has suitable access points.
The building restricts what can be altered
Fire-rated enclosures, structural elements, asbestos-containing materials, heritage fabric or other building constraints can make access-panel installation a design or specialist-remediation issue rather than a straightforward cleaning task.
Comprehensive access is part of effective kitchen-extract cleaning.
BESA’s January 2026 kitchen-extract guidance says TR19® Grease requires comprehensive access through the duct system because hidden internal surfaces cannot be effectively inspected or cleaned if technicians cannot reach them.
The guidance says access panels are generally expected at regular points along the ductwork—typically around every two to three metres where practicable—and should be sufficient in number, quality and size to allow access to internal surfaces and in-line components.
The exact position and construction of access panels is a technical matter for competent people who understand the duct system, building fabric, fire performance and working environment. The distance guidance should therefore not be turned into a rule that EC applies blindly to every building.
Panel locations still need to make technical and practical sense. Fire-rated ductwork, structure, insulation, obstructions, hygiene areas, heritage fabric and safe working access can all affect how an appropriate solution is designed.
One opening rarely tells you the whole story.

The next instruction should describe the obstacle, not repeat the cleaning order.
A contractor report that says “ductwork inaccessible” is not yet a useful remedial brief. The estates team should extract enough detail to identify where access failed, what prevented it and which party is best placed to investigate the solution.
That may require clarification from the original cleaning contractor before another supplier is approached. Photographs, marked-up drawings and the contractor’s description of the inaccessible section can materially improve the next enquiry.
Do not treat cutting into ductwork as a generic handyman task.
BESA Academy’s Grease Hygiene Technician course includes the ability to mark out, remove a suitable area and install an access panel to industry standards. That is a useful indication that access-panel work forms part of a technical ventilation-hygiene skillset rather than simply being an incidental building alteration.
The competent person still needs to consider the duct material and construction, panel dimensions, air leakage, fire performance, insulation, contamination control and whether the location actually enables effective future cleaning and inspection.
Where the ductwork is fire-rated, passes through protected construction or sits within a specialist environment, the correct solution may require additional design or fire-stopping input beyond the ventilation-hygiene contractor’s own scope.
Sometimes the missing access is a roof key, permit or landlord decision.
Not every inaccessible system needs physical alteration. A fan may already have suitable service access but sit behind a locked roof door. A riser may be reachable only from a neighbouring unit. A shopping-centre system may require an out-of-hours permit or centre-management escort.
Those are management-access problems. Installing another duct panel will not solve them. The commercial action should instead identify the controlling party and arrange the permission, key, escort, working window or safe-access method before the specialist returns.
The previously inaccessible section needs to become visible in the next record.
Once access has been provided, the next specialist attendance should make clear whether the formerly excluded section was successfully reached and what inspection, testing or cleaning was then completed.
BESA’s current kitchen-extract guidance says post-clean verification reports should record work completed and note access limitations or areas requiring attention. That means the close-out record should make it possible to compare the old exclusion with the new outcome instead of leaving the estate team to infer what changed.
Where a recurring access limitation remains unresolved, it should stay open as a separate asset-management action until the responsible party decides how it will be addressed.
